Accounts Payable Associate

The Harold Grinspoon Foundation (HGF), located in Agawam, MA, is seeking a full-time Accounts Payable Associate. This position will support current operational activities of the HGF Finance department and participate in new initiatives of the foundation.

About HGF

HGF seeks to further the realization of the religious and ethical principles and aspirations of Judaism via its flagship programs: PJ Library; JCamp 180, Life & Legacy, and Voices & Visions, and through grants to eligible individuals and organizations in Western Massachusetts. The largest of the programs, PJ Library, provides families with high-quality children's books, music, and other resources that foster Jewish learning and create a gateway for deeper engagement in Jewish life.

The Position

Under the supervision of the Chief Financial Officer (CFO), the Accounts Payable Associate provides financial, administrative, and clerical support to the organization. The Accounts Payable Associate’s role is to complete payments and oversee the expense process, including processing, verifying, and reconciling invoices.

Essential Duties and Responsibilities:

  • Run check disbursements weekly, match checks with remittance and mail checks
  • Maintain AP files to be processed, to be followed up on, and paid
  • Input GL entries and vendor information into accounting system
  • Coordinate with approvers to ensure invoices are reviewed and approved in a timely manner
  • Prepare monthly AP accruals as necessary
  • Serve as the internal contact for HGF’s travel booking tool and assist employees as needed
  • Review and process expense reports and reconcile company credit card activity
  • Prepare monthly prepaid report and journal entries
  • Reconcile general ledger accounts to ensure current and accurate records
  • Assist in the monthly close process and preparation of audit schedules
  • Assist with filing and record keeping
  • Follow-up with vendors in a timely manner concerning outstanding issues
  • Maintain vendor files including W9’s and 1099’s
  • Maintain financial security by following internal accounting controls
  • Assist with other daily activities as needed

Required Skills and Experience


  • Associate degree is preferred


  • Minimum of two to three years of experience in a finance or accounting role
  • Knowledge of general accounting principles, regulatory standards, and compliance requirements
  • Experience with QuickBooks preferred
  • Experience with Concur preferred
