Executive Administrative Assistant for Life & Legacy Program

We are seeking a detail-oriented, experienced administrative professional to support the Life & Legacy Program - the Foundation's national partnership program that assists communities across North America in taking advantage of the great transfer of wealth by promoting after-lifetime giving to benefit local Jewish organizations.

That’s why we are seeking a detail-oriented, experienced administrative professional to support the Life & Legacy Program - the Foundation's national partnership program that assists communities across North America in taking advantage of the great transfer of wealth by promoting after-lifetime giving to benefit local Jewish organizations.

About the Opportunity

Reporting to the Life & Legacy National Director, the Executive Administrative Assistant will support the Life & Legacy National Director and Legacy Community Consultants who work with Jewish Federations and Foundations across the country to engage local Jewish day schools, synagogues, social service organizations and other Jewish entities to secure legacy gifts, steward donors and integrate legacy giving into the philanthropic culture of the Jewish community.
 

Responsibilities

  • Plan and execute annual Springfield-based legacy conference in conjunction with National Director
  • Assist with updating of jewishlifelegacy.org website
  • Keep Salesforce up to date with appropriate documentation
  • Create and edit program agreements with partner communities
  • Process grant payments
  • Assist with application process and acceptance of new community partners
  • Assist with the creation of brochures and other outreach materials
  • Distribute “Best Practices” emails to partner organizations
  • Set up monthly cohort calls for partner communities
  • Purchase curriculum-related supplies
  • Process invoices and credit card expenses
  • Process requests for program materials and shipping to community partners
  • Update internal reporting tracking professional contacts, community site visits and requests for materials
  • Keep email distribution lists updated and segmented as required
  • Be part of a team that is working to continuously improve and expand the Life & Legacy initiative

Skills and Qualifications

  • Min 3-5 years of experience in administrative and/or program management role
  • Strong administrative, program management, and event planning skills
  • Very detail-oriented with good analytical, organizational, and written/oral communication skills
  • Demonstrated ability to be proactive and work individually as well as part of a team
  • Thrive in a fast-paced environment, handle multiple projects simultaneously and adapt to change
  • Pleasant demeanor, tact with sensitive information and ability to work with a variety of professionals
  • Entrepreneurial spirit and creative drive
  • Excellent time-management and organizational skills
  • Excellence in Microsoft Office products, especially Excel, Outlook, PowerPoint, and word
  • Excited by the opportunity to participate in innovative national program
  • Knowledge of Salesforce preferred
  • Interest in or knowledge of Jewish community preferred
