Executive Assistant

Position Overview

The Executive Assistant will provide overall support to the directors of PJ Library® as well as PJ Library’s engagement team, the team that provides professional learning and support to a network of over 150+ program professionals based at partner organizations across the United States and Canada. 
This is a full-time position, based in the Agawam, MA office, reporting to the PJ Library Director of Engagement (based in Chicago, IL). 


Responsibilities include, but are not limited to:

Support to the PJ Library Director Team

  • Provide administrative support to the Managing Director of PJ Library, Director of Engagement and Director of International Programs including scheduling, coding expenses, travel arrangements and other duties as assigned.
  • Provide editing and design support to enhance correspondence, communications materials and presentations in the Microsoft Office Suite.
  • Enter data into and export information from online databases, including Salesforce.
  • Maintain shared project calendar(s) and files.
  • Provide organizational and logistical support for meetings (upon resumption).
  • Coordinate regular and one-time mailings from the Home Office.

Support to the Engagement Team

  • Support the PJ Library Engagement team in providing year-round virtual gatherings and trainings for PJ Library professionals, including scheduling, technology support, and materials production.
  • Prepare the weekly e-newsletter for PJ Library professionals.
  • Maintain and update the database of PJ Library professionals.

Skills and Qualifications

  • Must have 2+ years of experience as an Executive Assistant or related professional experience.
  • Ability to handle sensitive information tactfully.
  • Demonstrated ability to work individually and with a team.
  • Be extremely detail-oriented with good analytical and organizational skills.
  • Possess strong written/oral communications skills.
  • Have strong proficiency with Microsoft Office products, especially Excel, Outlook, PowerPoint, and Word.
  • Have excellent time-management skills.
  • Knowledge of Mailchimp, Salesforce, Zoom and Airtable preferred. Familiarly with Wrike and/or Raiser’s Edge NXT a plus.
  • Interest in or knowledge of Jewish community preferred.

Physical Requirements

  • Prolonged periods sitting at a desk, concentrating, and working on a computer.
  • Must be able to lift up to 15 pounds at times.


This position is based out of the home office in Agawam, Massachusetts.
