Personal Executive Assistant

The Harold Grinspoon Foundation (HGF) located in Agawam, MA, is seeking a Personal Executive Assistant for its founder. This is a one-of-a-kind opportunity to work with a brilliant, kind-hearted businessman, philanthropist and artist.

Job Summary:

The Personal Executive Assistant will provide personalized secretarial, administrative, logistical and other support to the founder and his family. Duties/Responsibilities may include the following:

  • Provide high-level administrative support and assistance.
  • Schedule meetings and keep the calendar for all business and personal appointments
  • Screen and direct phone calls. Review, write and distribute correspondence on behalf of the executive, including determining importance, and summarizing and/or distributing contents to appropriate staff.
  • Perform clerical and administrative tasks including taking dictation, recording minutes of meetings, drafting letters and memos, creating reports and documents, managing databases and keeping records
  • Handle requests and queries appropriately
  • Arrange travel and accommodations for the founder and his family
  • Perform office tasks including maintaining records and ordering supplies
  • Plan and execute events and functions
  • Serve lunch and other refreshments in the office as needed
  • Performs additional duties as assigned

Supervisory Responsibilities:

  • May recruit, interview, hire, and train other staff as need to support the business and personal life of the founder and his family.

  • Extremely proficient with Microsoft Office Suite or similar software, experience using Zoom and the ability to learn new or updated software.

Education and Experience:

  • High school diploma required; Bachelor’s degree in Business Administration or related field preferred.
  • At least two years of similar or related experience required

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer
  • Must be able to lift up to 40 pounds at times
  • This position is not eligible for remote working- location is Agawam, MA
