Prospect Manager



Position Overview

The Harold Grinspoon Foundation is seeking a thoughtful, detail oriented and highly motivated individual to fill an essential position within its Advancement department.

Reporting to the Director of Advancement Operations, the Prospect Manager will manage the Foundation's prospect research and assignment processes, as well as ensure prospects are moving meaningfully from identification through stewardship. They provide research support to key leadership at the Foundation, as well as to frontline fundraisers, to inform development strategies and advance potential donor relationships.

The right individual will have a strong understanding of the moves management process as well as an appreciation for the role prospect management plays in establishing relationships and securing major gifts.

Responsibilities

Prospect Management:

  • Oversee and facilitate moves management and opportunity tracking.
  • In direct partnership with frontline fundraisers, build, manage, and maintain prospect pipelines and portfolios to ensure accurate fundraising metrics and forecasting.
  • Prepare and process updated portfolio and opportunity reports, as needed for prospect management, including, but not limited to portfolio reviews and assisting with strategy development.
  • Guide and reinforce the moves management process at PJ Library by leading frequent meetings with fundraisers to assign new prospects, match prospect interests to fundraising priorities, and support in identification of prospect strategy.
  • Conduct formal biannual portfolio reviews with frontline fundraisers.
  • Complete data entry related prospect management efforts, including assignments, strategies and moves management notes, ensuring the information is recorded in a timely fashion and is organized, stored, and maintained for data retrieval and reporting in Raiser's Edge NXT.
  • Provide key support and insight to the Advancement Directors on the status of and maintenance of assigned fundraiser portfolios.
  • Collaborate with Chief Philanthropy Officer, Director of Philanthropy, and frontline fundraisers on the development and execution of strategies for major and principal giving donor prospects.
  • Manage all open opportunities to ensure proposals are completed and closed appropriately within set deadline timing.

Prospect Identification:

  • Identify new potential major gift donors (individuals and organizations) by analyzing and synthesizing information from available internal and external data sources including wealth screening vendors, public and online resources to assess financial capacity, philanthropic tendencies, giving propensity, and connections to PJ Library and the Harold Grinspoon Foundation.
  • Implement new research techniques and employ data-driven prospect identification processes.
  • Generate a strong and robust pipeline of donor prospect leads from leadership annual giving to major giving levels.
  • Track and communicate actionable news and other intelligence learned through prospect identification efforts.

Prospect Research:

  • Provide proactive and reactive research by analyzing and interpreting biographic, business, and financial information to help inform and enhance fundraising efforts.
  •  Using a variety of electronic and print resources, develop and synthesize information on prospects (including individuals, corporations, and foundations) to produce clear profiles/biographies of their background, career, financial capacity, philanthropic interests, and nature of relationship to PJ Library and the Foundation.
  • Produce donor briefing documents for events and donor prospect meetings.
  • Generate in-depth donor research reports and other prospect-specific intelligence reports to help inform prospect development decision making.

Data Integrity:

  • Manage data entry related to prospect identification and research efforts.
  • Perform related data entry and maintenance.
  • Create, manage, and interpret reports in support of prospect identification, prospect management, and to track major gift fundraising progress.
  • Provide regular quality checks through the development and review of regular audit reports.
  • Always safeguard the confidentiality of constituent information by adhering to ethical and confidentiality guidelines of the Foundation and the Association of Professional Researchers for Advancement (APRA).
  • Coordinate with the Development Services Manager to maintain a comprehensive major gift pipeline in NXT and regularly evaluate dashboards and pipeline reports.
  • Ensure advancement staff are appropriately and effectively logging prospect actions.

Requirements

  • Highly organized with exquisite attention to detail
  • Excellent written and oral communication skills (formal and informal)
  • Knowledge of ethics statements by APRA, Council for Advancement and Support of Education (CASE), and other related associations.
  • Ability to maintain confidentiality and work with sensitive information
  • Ability to prioritize tasks, handle multiple assignments, and meet deadlines in fast-paced environment, while maintaining strict attention to detail
  • Familiarity with Microsoft Suite, including superior Excel skills
  • Experience with online data systems
  • Preference for previous experience using Raiser's Edge NXT, and Salesforce

This position is based at the Harold Grinspoon Foundation headquarters in Agawam, MA.
Salary is commensurate with qualifications.
