Web Operations Associate

The Harold Grinspoon Foundation (HGF) is seeking a Web Operations Associate with a keen eye for detail to assist in day-to-day content and front-end web work across more than ten web properties.


The Harold Grinspoon Foundation is seeking a Web Operations Associate to join our dedicated web team. The ideal candidate will be exacting in detail and be interested in advancing their career in digital marketing and front-end web technologies. This role will be responsible for completing content related day-to-day tasks and will be participating in bigger web projects across multiple programs within the organization. This work will chiefly involve content fulfillment while maintaining good practices with accessibility standards, search engine optimization, and user experience. The Web Operations Associate is a key player of the web team where their work can be appreciated by tens of thousands of visitors collectively every month.

Reporting to the Web Marketing Manager, the Web Operations Associate will be part of a complete marketing team responsible for the growth and promotion of HGF’s flagship program, PJ Library, as well as additional HGF programs and initiatives.

This is a full-time position based at the HGF main office in Agawam, MA. The schedule is hybrid, where you may work from home two days a week.


  • Claim tickets from a backlog and move tasks through an agile Kanban style workflow.

  • These tasks involve fulfilling web content across all our program websites utilizing CMS (content management system) tools on a day-to-day basis.

  • Autonomously fulfill regularly scheduled monthly content fulfillment related tasks and report on their status to the Web Marketing Manager.

  • Utilize our CRM and ERP software to find data to be used in this and other content fulfillment work.

  • Pair with team members to assist on major web projects.

  • Perform thoughtful quality assurance audits on web content regarding customer/user experience, link validity, accessibility, and best practices for media / image sizing.

  • Work with internal stakeholders to advise on uphold good web standards and meet deadline expectations.

  • Maintain, update, and create documentation for processes as needed.

  • Observe and identify areas of improvement in overall optimization on our websites and create or modify internal tickets when issues are found.

  • Assist in troubleshooting web and email-related issues as reported by internal staff.

  • Occasionally assist with creating, proofing, and sending email campaigns.


Skills and Qualifications:

As Web Operations Associate you will work directly with mark-up (HTML) for laying out web content on our sites. A background in computer science or software development/programming is not required. The ideal candidate should be comfortable with web technology, have a good eye for layout design, have rudimentary knowledge of HTML, and be interested in digital marketing and the tools related for preparing content for front-end web.


  • Some prior experience working in a Content Management System (CMS).

  • Organized and able to work autonomously on monthly scheduled tasks.

  • Technologically savvy and adaptive in learning new applications and processes.

  • Interest in aspects around digital content marketing and web design including improving accessibility, user experience, and search engine optimization.

  • Excellent attention to detail, and an ability to understand and follow style/brand guidelines.

  • A consistent and clear communicator for creating documentation, working with stakeholders, updating tickets, and working with fellow team-members.

  • Creative problem solving with a good eye for typography and ability to balance a page layout.

  • Basic photo and image editing skills for web best practices (scaling, cropping, and file formats).

  • Basic HTML knowledge, in identifying and utilizing common mark-up elements.


  • Familiarity with an agile style workflow / ticketing.

  • Basic knowledge using a WYSIWYG editor or editing HTML a code editor or IDE.

  • Familiarity with common web UI kits like Bootstrap and Foundation and applying those UI classes to HTML elements appropriately.

  • Knowledge of working with or writing CSS styles for web design.

  • Advanced photo and image editing skills in color correction, silhouette/clipping paths, retouching, and utilization of filters/effects.


As Web Operations Associate you will be utilizing industry standard tools and software to accomplish your tasks. Having experience in any of the following will be a plus, however the web is an ever-changing environment. It is expected this role will involve ongoing professional development in new software-based skills as our digital products continue to scale and evolve. Adaptability and a willingness to learn will be a key attribute.

  • Microsoft Office apps like Word, Excel, and Outlook primarily

  • SaaS CRMs and ERPs like Microsoft NAV Dynamics and Salesforce

  • Project Management / Kanban Ticketing like Wrike and Jira

  • Documentation Wiki Tools like Confluence

  • Cloud Storage Services like Dropbox

  • Team communications services like Slack and Zoom

  • Metrics Platforms like Google Analytics


High School Diploma, equivalent, or greater.

Location: Agawam, Massachusetts home office. The schedule is hybrid, where you may work from home two days a week.
